Warsaw, Poland 16-18 July 2012

Dear Colleagues,

We are pleased to announce the 2nd NCAC (Nicolaus Copernicus Astronomical Center) Symposium which will be dedicated to the Orion Nebula.

The conference is intended to honor prof. Charles R. O'Dell, to whom we plan to present the NCAC medal in recognition of his crucial role in the creation of the Nicolaus Copernicus Astronomical Center and of his outstanding scientific achievements in studies of the Orion Nebula.

TOPICS

The proposed program is aimed at the most important issues related to the Orion nebula. In particular, the topics we would like to cover include:

The program is still open and will be established by the SOC after receiving titles and short abstracts from the participants (see below).

ORGANIZATION

The conference is organized by the Nicolaus Copernicus Astronomical Center. It will be limited to about 40 participants. We plan to have no more than 30-40 presentations, and plenty of time for discussions. Poster presentations will be also possible. The participation will be mainly by invitation addressed to selected scientists (we would appreciate your help here) and their students and postdocs.

The Scientific Organising Committe (SOC):
Gary Ferland (USA), Lynne Hillenbrand (USA), Karl Menten (Germany), Joanna Mikolajewska (co-Chair, Poland), Manuel Peimbert (Mexico), Michal Rozyczka (Poland), Grazyna Stasinska (co-Chair, France), Ryszard Szczerba (co-Chair, Poland)

The Local Organizing Committee (LOC):

CONFERENCE SITE AND ACCOMMODATION

The conference will take place at the NCAC in Warsaw (http://users.camk.edu.pl/magdaot/OrionNebulaConference/). For attendees looking for a budget accommodation there will be a limited number of single (~100 PLN/night) and double (~70 PLN/night/person) hotel rooms at the NCAC hotel and nearby Space Research Center (SRC). There are also many good (and more expensive) hotels downtown, and several can be easily found in the region within 20-min by bus. The closest are Hyatt Regency (5-star, single rooms from ~400 PLN), Belwederski Hotel (3-star, single rooms from ~300 PLN), and Warsaw University Hotel Hera, all ~7 min by bus #167. Another option is Sheraton (5-star, single rooms from ~400 PLN) and any other hotels near Plac Trzech Krzyzy, ~15 min by bus #108. Please make reservation by yourself using e.g. http://www.booking.com/city/pl/warsaw.html or using links on the conference web site. If it is difficult to find accommodations you like, please feel free to contact us (NCAC_Symp@ncac.torun.pl).

PLEASE NOTE: 1 EUR=4.2 PLN, 1 USD=3.2 PLN.

REGISTRATION

The registration fee is 100 euro, which should be paid at the meeting reception by cash. It includes the abstract book, welcome reception, lunch, coffee/tea/refreshments and banquet. We will charge 30 euro registration fee for accompanying persons.

In order to help the organization, we ask you to fill in and submit the accompanying registration form, before MARCH 31, 2012. The data from these forms will be used to elaborate a preliminary programme and to arrange accommodations at the NCAC and SRC hotels. We encourage you to send it as soon as possible, since we plan to have a limited number of participants, and not all can be accommodated in our hotels.

FINANCIAL SUPPORT

We have some financial support from the Polish-French collaboration programme to organize this conference, and to help the participants who are short of funding. Those applying for such financial assistance should fill in and submit the registration form before FEBRUARY 29, 2012, accompanied by an email to explain why they need help, and in the case of students e-mailed support from their supervisors may also be useful.

Please distribute this announcement to your colleagues.

We are looking forward to your participation.

2nd announcement

Dear Colleagues,

We thank all participants for registering for the Second NCAC Symposium on "The Orion Nebula: A Laboratory for the Study of Star Formation and Gaseous Nebulae". In this announcement we include information regarding our meeting.

The scientific programme is enclosed on our web page http://users.camk.edu.pl/magdaot/OrionNebulaConference/programme.html. Small changes are still possible. We kindly ask those who have not yet sent us details (final title, abstract) of their presentation to email them as soon as possible to mikolaj@camk.edu.pl. The allocated time for talks includes time for questions/short discussion.

A book of abstracts will be distributed to the conference attendees upon registration.

There is a possibility to organize a free bus/minivan shuttle from the Hyatt Regency, Warsaw University and Belwederski Hotels to the NCAC in the morning. Please let us know if you are interested.

Since there are no restaurants within a short (<5-10 min) walking distance from the NCAC, we will organize a buffet lunch for all the participants on Monday and Tuesday. In addition, a welcome coctail is planned for Sunday, July 15, at 18:00 at the NCAC, and the conference dinner on Tuesday, July 17. All these will be covered by the registration fee. To make the arrangements we must know your dietary preferences.

Finally, there is a possibility to organize a social lunch with sightseeing in Wilanow on Wednesday, July 18 if there will be enough interest. We plan to leave the NCAC after the conference end, around 13:00, have a lunch at a restaurant with Polish cuisine (not included in the conference fee, choice from menu), and then stay as long as you wish to enjoy the Wilanow Park and Palace:

With best regards,

3rd announcement

Dear Participants,

Here are some useful remarks and hints concerning arrival, registration, presentations, etc. The conference will take place at the Centrum Astronomiczne im. M. Kopernika (N. Copernicus Astronomical Center/NCAC) Bartycka 18, Warszawa.
For details please check the conference web page: http://users.camk.edu.pl/magdaot/OrionNebulaConference/logistics.html

Arrival:

The best (and safest) way to reach the downtown hotels and the NCAC/SRC hotels from the Okecie airport in Warsaw is to take a taxi which is not very expensive. At the airport please take a taxi from those waiting outside the arrival hall (they must have name of the taxi company and phone number).
We recommend SUPER TAXI which can be found at the TAXI stop next to the exit from the ARRIVAL TERMINAL A or contact the people the SUPER TAXI Stand at ARRIVAL TERMINAL A. They accept VISA and most other credit cards. DO NOT ACCEPT any cars offered by people inside the arrival hall. Taxi will take 20-30 min and should cost about 40-60 PLN (1 Euro is about 4.2 PLN). Taxi is also the best choice for those arriving to Warszawa Centralna railway station.

Registration for the Symposium & Welcome Reception:

Registration and Welcome Reception will take place on Sunday, 15 July from 18:00 to 21:00, at the patio of the N. Copernicus Astronomical Centre. Registration will be also possible on Monday morning before the first Session for those who will arrive later. The taxi from most hotels to the NCAC should cost 20-25 PLN (on Sunday it is usually 50% more). We recommend the following companies:
Volfra Taxi (ph. 2219625)
Bayer Taxi (ph. 2219667)
Super Taxi (ph. 19622, 19661)

Another (and more adventurous) option is a public bus (#167 from the bus stop next to Hyatt Regency hotel) and #108 going from Plac Trzech Krzyzy (please check map on the conference web page). Information about timetables, tickets and tariffs can be found at: http://www.ztm.waw.pl/?l=2

Presentations during the Conference:

Those of you who will be giving an oral contribution in a session, are kindly asked to pass their presentation (.pdf or .ppt format) to the LOC member in charge NOT LATER than during the break preceding your session. We would like to avoid the hassle (and waste of time) of changing laptops between presentations, so please use the conference equipment for your presentation. The time allocated for each talk includes 5 min for discussion.

Internet:

During the conference wireless Internet will be available at the NCAC. Participants living in the NCAC hotel rooms will also have wire access to the Internet.

Lunch & Breakfast:

Lunch will be served at the patio of the N. Copernicus Astronomical Centre and is included in the registration fee. For those living in the NCAC/SRC hotels breakfast will be served from Monday till Wednesday at 9.00 at the same place. All participants are welcome to join for "weak-up coffee" and refreshments.

Transportation from the Hyatt Regency/Belwederski hotels:

There will be free of charge shuttle service from Monday to Thursday leaving at 9:15 from Hyatt Regency and Belwederski hotel to NCAC. The service will be provided by SUPER TAXI and the password will be JOANNA.

Social events:

In addition to the Welcome cocktail Sunday, 15 July (see above), we have scheduled the following social events, all included in the registration fee:
Monday, 16 July, 18:30: Grill party at the NCAC
Tuesday, 17 July, 19:00: Conference dinner
Wednesday, 18 July, 13:00 Lunch & sightseeing in Wilanów

See you in Warsaw.

Joanna
